What's important in a CRM system


Frequently the focus of a new CRM purchase is about the software. Web based vs. premise based? How does it sync with my Blackberry? 

Yet in the process of trying on potentially dozens of “solutions”, clients may forget what brought them to start looking in the first place. We’ve put together a list of recommended business benefits you should expect from your CRM investment. Keep these in focus before and after you buy.

It's hard to miss the point of our little cartoon - the king who has no time for the idea that could win the battle. 


For many years, I've thought this cartoon really said a lot about the challenges sales leaders face. A continual onslaught of demands from above, below, and of course, our clients make it almost impossible to think and plan. We are forced to react instead of acting. Goldmine updates Corporate Edition with new Build 7.6

FrontRange Solutions has announced the release of GoldMine Corporate Edition (GMCE) 7.6.  The main driver for this release is to support the latest Microsoft technology platform releases, as well as, improve product usability and administration capabilities.  And, as with all GoldMine releases, GMCE 7.6 continues to progress product quality -- there are over 70 fixes listed.  


The release will be generally available at the end of the week of September 20  for client’s current on maintenance to download and install.  GoldMine customers will be notified of the 7.6 release via email at that time.

Syncing GoldMine with Smartphones


Everybody has a SmartPhone these days. Blackberry, iPhone, iPad, Palm, yada yada. The list is endless and growing constantly. What makes these “Smart” phones so popular? Well, it’s because they are really portable computers as well as communication devices. And as communication moves quickly from writing and mail and direct verbal communication to text and e-mail, these functions begin to take priority on the “phone”.  We also want to take all our info with us and that means the contacts, calendars and more from our computers. That’s where syncing comes in. Transferring and updating info back and forth from our Smart phones to our less mobile devices. 

Actually I predict that in the very near future syncing will go away and most of our data will be transfered directly through the “cloud” to our phones; either through a push technology like the Blackberry server or Exchange, or we will just log onto websites with all our information. 

But for now the question is, “If you are using a CRM system what are your options to get your data to your SmartPhone?” Since we are specialists in GoldMine we’ll give you our examples, but other CRM programs should have similar options.

  1. 1.  GoldMine’s Internal Sync to Outlook

GoldMine and several other CRM packages Include a sync to Outlook, Palm, or Windows Mobile devices. The Outlook sync tends to be used where an Exchange server is available because it moves the data from GoldMine to Outlook and then to the SmartPhone. It is a one or bidirectional sync. It is reasonably reliable with limited duplication. We recommend syncing Contacts out only and calendars both ways. 
Pros:
  • No additional cost.
  • Data stays on the mobile devices address book and calendar while disconnected from Internet.
  • Once configured, can be set to automatically sync when logging into GoldMine and at specific intervals.
  • Can configure seperate settings and profiles for Calendar and Contacts to sync with Outlook.
  • Fairly easy to purge data if needed. 
Cons:
  • Semi-automatic – will rely on a macro in the GoldMine shortcut to start when logging in to GoldMine or by hitting a shortcut button once after logging into GoldMine. 
  • Can duplicate data in either Outlook or GoldMine. 
2.    CompanionLink Pro
Cost: $100 per User
Pros:
  • Many more configuration options vs GoldMine`s built-in sync to Outlook
  • Can be configured to auto start and sync at intervals during while connected to GoldMine.
  • Data available on the BB while disconnected from the Internet.
Cons:
  • Additional cost per user.
  • Would have to synched to local Outlook while offline if iGoldMine is used**.
  • Sometimes needs to be reconfigured.

3.   WMobile 
Cost:  $400 charge for server Installation + $295 per user 1 time charge. $58.00 per user annual maintenance and upgrade fee. (Optional after first year) 
Pros:
  • Awesome interface – provides almost all of the functionality of the full version of GoldMine on the Smartphone. 
  • Provides live phone link, live email link, live Mapquest to address link, ability to copy contact or calendar event to SmartPhone local application. 
  • This is a direct connection to the GoldMine server. Changes to records, calendar, email etc. are available immediately for the entire workgroup. 
  • No syncing is involved so no troubleshooting is required.
  • Works with any web enables Smart Phone
  • Also provides access through any web browser on a PC or Mac. 
Cons:
  • Additional cost.
  • Must be connected to Internet to gain access to data. Though on a Smart phone, internet access is almost always available.
Tech.Sell Recommendation – WMobile with Periodic local sync or contacts and or calendar through outlook. 
We feel that WMobile offers the next best thing to being there. There is no syncing involved and syncing of anything is great when it’s working flawlessly and a time waster when things get duplicated or the sync isn’t quite right. With WMobile, because it is a live link to the eGm database, any work done is immediately available to users in the office. 

We are recommending that a periodic sync of contacts to the BB could be helpful for times when users aren’t connected to the internet.  Calendars can also be synced to Outlook and then the BB if necessary. 

GoldMine Premium 9 Delivers Dashboards and Outlook Integration


FrontRange Solutions has released GoldMine Premium Edition 9.0

9 is an upgrade to the current 8.5 Premium. The already solid GoldMine PE (Premium Edition) gets some new bells and whistles, dashboards and very tight integration with Outlook 2003 or 2007. 

The dashboards provide graphical views of key sales, activity, and customer service information right out of the box. They are real time with full drill down capabilities to make it easy to follow data to the actual customer record. 
As shown above the dashboards can provide both graphical and tabular data views. In the view above note that each dashboard also has tabs with different views of information within the same dashboard. Gm 9 will come with a selection of pre created dashboards. There is also a wizard to design additional dashboards. 

The Outlook integration provides email, contact and calendar integration between GoldMine and Outlook for 2 primary reasons. First Outlook users can now add their info to GoldMine’s powerful history function without ever leaving Outlook. Secondly the new Outlook link provides automated syncing between GoldMine and OUtlook to keep Smart phones and PDAs up to date with data from GoldMine.

VOIP Voice Over IP - The phone system with no boundaries



Take your office with you anywhere, with 8x8 Voice over IP!

In the computer world they are always waiting for and talking about the “killer app”. A real game changer.  VOIP is still new to many of us and I have to say it’s been a game changer for how we can do business. 

Though I’ve “known” about VOIP (Voice over IP) for a few years, I have to say that even for a pretty geeky guy like me it was a little scary. I mean giving up Ma Bell and putting your trust in the internet to handle all your communications!! Yikes!  But late last year, our lease was up and part of the move would include moving our phone system, or buying a new one. (Moving would be around $1,000 buying would be quite a bit more.)  Our phone bills under the best package were about $80 per line per month. 

I had heard from a few clients that with VOIP, one could actually take their phone home with them and plug it into their router and know one would know they were sitting in their bath robe. I liked that concept. 

I thought that beyond the bathrobe concept it would be great to give current and future employees the flexibility to work from home without losing the company phone system. Calls could be transferred to them as though they were sitting in the office next door. 

So I started looking at services and plans. I found a variety of plans and providers, but settled in on a company called 8x8 based on a referral from a partner who had used them for a few years. 

In a nutshell, here’s the deal... 8x8 is your switchboard in the cloud. You buy your IP Phones from them for around $75 each. You get them in a day. You plug the ethernet cable that goes into your PC into the phone and another supplied cable from the phone into your PC. They call you and walk you through the setup and in under 30 minutes you are in business. 

You can transfer calls to other extensions. You get voicemail, an auto attendant... you know dial 1 for this and 2 for that. You get an email with any messages for your extension that you missed. You can take your phone home or wherever and plug it into a router or PC jack and make and receive calls as though you were at your desk. 

They just added an app for the iPhone that let’s me use the iPhone on WIfi to take and make calls plus all the other features.
See above.  (I’m dying to try it on my iPad).  
They also just added a feature where you can use your laptop as a phone. Just sign in on the 8x8 web site and click a button and start taking calls. 


Note as of 4/3/2010. GREAT NEWS it works with the IPAD!!

We pay about $30 per line per month vs $80. The iPhone app is $4.99 per mo. per extension that uses it. 

If the internet goes down, you are down. Which is not good, but if you can have people in different locations, someone will still be able to answer the phone. 

In 3 months, we have had one outage of about 3 hours and a couple of very minor problems. 

Call quality is usually very good, but call us at 847-382-4500 and see. 

Oh and yes we were able to easily transfer our phone number.

GoldMine Versus Outlook CRM SHOWDOWN!

Is Outlook your CRM program?  - DANGER

The Contenders
Outlook - The most widely used Personal Information Manager in the world. 
GoldMine CRM - Program created in the early 90’s as a workgroup, shared, contact manager, unlike it’s early rival ACT! which was a personal (single user) contact manager. Has grown and evolved over the years to be an excellent Mid-Market Customer Information manager. About 1.5 million users.

General Features: 
Outlook - Gives the user a vehicle to manage an address book, calendar, task list and communicate via e-mail. In an Exchange Server environment, some of this information can be shared with co-workers, most notably the public calendar is of value for scheduling group meetings. Public address book can also be shared, but typically each user maintains their own book of contacts. There is little collaboration of information. Remote access available in an Exchange environment allowing web access, e-mail, calendars and address book can be synced to other systems using Outlook or Entourage (Mac). Cost  for stand alone $110 as part of MS Office around $450 for a new license. 

GoldMine Premium Edition - Full featured CIM Customer information manager designed to serve as the core of a workgroup environment. All users access the same MSSQL database. Users work from a contact record which provides rolodex information and tabs with other related contact info, pending, history, documents, relationships, etc. Standard features include; address book, calendar, activity list, e-mail client, document management, opportunity management, project management, customer service module, reporting. 
Let’s take a closer look at each important aspect of a CIM (Customer Information Management) system and see how each application can support your company. 

Sharing information - This is the absolute core of a CIM system. 
Everyone who touches the customer needs to be able to quickly access all information relating to that customer. - GM allows all users both on network and remote to access and add to all customer information: Field data, pending activities, history of all activities and correspondence including e-mail, linked documents, projects, sales opportunities, notes, customer service issues. GM also includes a searchable Knowledge base, shared word and e-mail templates. Outlook provides shared address book, public calendar in an exchange environment only. GoldMine shares data to all users.
 
Winner: GoldMine

Contact Management /Address Book - The most basic level of a CIM is access to complete customer information. Outlook provides basic rolodex information on a contact. The address book is a standalone. There is no linking of calendar, history or emails to contacts in the address book. Outlook has limitations on the number of custom fields available. Also custom fields are not sortable or searchable in Outlook. 
GoldMine has a highly customizable user interface allowing unlimited custom field creation. All fields can be clicked on to search or sort or filter the data as needed. GoldMine is based on linking all activities to the related contact record. This builds a databank of all related information for the particular contact in one place. 
Winner: GoldMine

Calendar - Outlook delivers a nice looking calendar. In a shared environment you can look at multiple calendars. You can also check schedules for meetings. Without Exchange this is not as easy. GoldMine offers multiple users on a single calendar, the ability to defien and show different types of activities on the calendar, i.e. Appointments on the calendar phone calls on the to do list, etc. Biggest difference is that activities in Outlook are not linked to the contact record, therefore no history is developed. GoldMine links pending and completed activities to each contact record to build history. This is also shared as part of the customer record. 
Edge to GoldMine

Activity Management - Continuing the same concept as seen in the calendar section, Outlook offers a task list while GoldMine offers an Activity list view. It lists the same activities scheduled in the calendar but in a different view. This is more of a user preference for those that like working from a list. Again big difference is connection to contact in GM and creation of history when activities are completed.

Sales Forecasting - GoldMine let’s user schedule a forecasted sale just like other activities. This let’s rep and manager build forecasts and track completed sales by seller. This is not available in Outlook.

Opportunity Management - Full featuerd opp manager takes the forecasted sales concept and provides sales funnel, and a repository to track all aspects of a longer term sale. Outlook does not have this functionality at all.

Sales Process - Not available in Outlook. GoldMine offers several ways to track and report on a sales process.

Customer History - Outlook has notes on the address book record. GoldMine offers complete history of everything related to the company or contact record.

Email Client - A very controversial point. Outlook is a very elegant email client, particularly when integrated with exchange. Excellent spell check, easy to send to multiple people, nice auto fill for entering email addresses. GoldMine’s client is not as elegant, but very functional. The two big pluses for GoldMine are, auto linking of all emails to the contacts history tab. That means no more managing folders. Just go to the contact record and look at history to find any incoming or outgoing email sent by any user. The other advantage is the ability to create templates that insert any info from the database into one or many emails. It’s easy to create a group of contacts with common interests and send personalized e-mails to each of them. 
From a single user standpoint Outlook is the winner, but as a business tool and part of a CRM system, GoldMine is a clear winner. Toss up. 

Targeted E-Mail Marketing Communications
GoldMine makes it easy to create an HTML email template with links to contact data. Create a filter on the fly, for example all customers in Illinois, and generate a personalized eamil to each customer. A history record is created and a follow up call can be automatically generated. 

Project Management - Outlook has no project management capabilities. GoldMine has a fairly extensive component to plan and capture all info related to projects. Multiple users can collaborate and review progress on projects.

Customer Service Issue Tracking - GoldMine has a complete customer service an aissue tracking system built in. Features include; ticket numbering, escalation system, built in messaging, issue become part of customer history, knowledge base to capture case related information. Outlook has not customer service capability.

Data Mgt.-Search, Sort, & FIlter - GoldMine wins again with very powerful yet user friendly searching sorting and list building capabilities. Outlook has the ability to look up based upon a few fields. Not even a contest here. Most importantly, once you have the list of cotnacts you need you can do something with them in GoldMine, like schedule calls en-masse, send an e-mail template, send a letter, run a report, etc. 

Document Management - GoldMine again! Create word or e-mail templates with fields right from the database. Easy to do very powerful marketing tool for large or small companies. Merge to one or thousands of recipients. Each message or letter is personalized and there is no long distribution list. 

Reporting ... Outlook has no ability to report on anything. GoldMine offers built in reports on many topics; Contact information, calendar information, analysis, and envelopes and labels. In addition it is very easy to create filtered lists that you can export to excel word or the clipboard. 
And even more additionally there are great 3rd party programs like MasterMine or Crystal Reports or SQL Reporting services that take information from your GoldMine database and let you run your business with it.
